Global COE Travel Awards for Young Scientists (Fiscal Year 2009)

As a part of our program, Kumamoto University Global COE “Cell Fate Regulation Research and Education Unit” will support expenses of young scientists' travels for their presentations in academic meetings. Those who are interested in this Global COE Travel Awards, just consult your supervisor with the announcement described below.
Qualification Requirements
To qualify as a Global COE Liaison Laboratory registrant, the Applicant must be a graduate student (including those in a Masters course) and a Post-Doctoral Fellows.
Furthermore, participation in a COE activity, i.e., a Global COE Liaison Laboratory Seminar, etc., is mandatory. Applicants who are in the category of Post-Doctoral Fellows may be disqualified under the current subsidy system, however, support may be granted due to absence from current employment.
Acceptable Research Presentations
The Application will be accepted if:
a)the Applicant's “Cell Fate Regulation Research” presentation (including poster-presentation) will be presented at a domestic or overseas academic meeting;
b)the Applicant is the lead presenter; and
c)the presentation title is submitted to the office of the academic meeting when the Application is also submitted to COE Liaison Laboratory Office .
If the presentation Adoption Notice or the presentation title, as printed by the publication, are submitted by no later than one week prior to departure and all of the above-mentioned documents are submitted after the Applicant returns, and the procedures are completed in FY2009, the Application will be accepted.
If the academic meeting is held overseas, the attendance at the meeting is to be open to people from other countries and presented in English. However, if the academic meeting is held in Japan , the presentation can also be held in Japanese. If the academic meeting is not held in public or it is appropriate that the travel expense will be paid by the sponsor, presenter or supervisor, the Application will not be accepted. However, upon appeal, a further determination may deem the Application acceptable on the inspection.
If it is determined that the travel includes additional extraordinary expenses, i.e., unnecessary accommodations and personal travel, the travel expenses, in their entirety or a portion thereof, will not be accepted. If the travel includes other work performed, i.e., other researches, a further determination will decide the amount of support, if any.
Support Amount
Travel, accommodation (It should be economical transportation such as a bargain fare or a package tour, and beside, within the prescribed expenses.) and participation expenses to an academic meeting. If participation expenses include reception and banquet expenses, they will not be supported. However, if details of the expenses can be evidenced clearly by way of a letter from the sponsor or public announcement on the website, they will be supported. The amount of support will be transferred to your account once the procedure has concluded. The Application process commences once the Applicant returns to Kumamoto and the Applicant's completed Application is submitted. If the process cannot be completed within the FY2009, the Application will not be supported. Please contact us if this is foreseeable or has occurred. Support for the overseas academic meetings limits to twice per one person. Pursuant to the related rules or budget conditions, the support may have certain restrictions and the GCOE Travel Award may be inapplicable.
Documents to be included with the Application
A. Documents concerning the academic meeting
copy of the printings and the website articles confirming the date, location and general programs.
B. Documents concerning the presentation
The detailed program of the academic meeting (a copy of the Applicant's name and the title of the presentation), a copy of the abstract (including the title and names of all co-authors), the adoption notification or the documents displaying the adoption notification. If the Applicant is unable to prepare all of the documents at the time of submission of the Application, the documents evidencing that the title was sent to the office of the academic meeting is acceptable (a copy of the abstract that the Applicant sent, and an email about the acceptance from the office of the academic meeting.) In this case, all of the documents listed above must be submitted by no later than one week prior to the Applicant's departure.
Documents to be Submitted at the Time of Application or on a Subsequent Date
A. Documents pertaining to travel for the academic meeting
The documents i.e., receipts/stub of air ticket are unable to be submitted with the Application, the documents can be submitted after the Applicant returns to Kumamoto . If the Applicant would like to receive support for the expense of attending the academic meeting, the Applicant must submit the appropriate document to evidence that the Applicant attended the academic meeting. If the expense of the academic meeting includes the expense of the party, kindly attach the document evidencing the details (the document should be an official document or in the form of a letter from the sponsor).
B.Others
Documents concerning the Applicant's account to transfer the travel allowance, copy of the passport, etc.
Application Submission
The Application (one original, one copy and the required documents to be enclosed with the Application) must be submitted to the following office between 9:00 a.m. and 4:00 p.m. Please note that email submissions are not accepted:

Application Deadline
The Applicant must submit his/her Application no later than one week prior to your departure for both domestic and overseas academic meetings. The Application process will commence when the Applicant returns to Kumamoto and all of the required documents are submitted, however, applications that are not submitted by the end of FY2009 will not be supported. Please contact our office if this matter will be foreseen or has occurred. Please note that, as a result of the budget conditions, there is a possibility the Awards will close early.
